Three emails, over and over, forever
A rental inbox is mostly the same handful of messages on repeat. Someone wants their agreement resent. Someone cannot find the payment link. Someone is asking whether their licence came through. None of it is hard, and all of it is yours to answer, one reply at a time, while the real work waits.
The portal does not make those emails faster to answer. It makes them stop being sent. The customer already holds the link that shows their booking, takes their payment, and hands back their agreement, so the question never reaches you in the first place.
Licence and documents, uploaded before they arrive
The customer uploads their licence and any required documents straight from the portal, on their phone, in the days before pickup. An overseas licence adds the right questions and an International Driving Permit gate only when it is actually needed.
You do not chase any of it and you do not confirm receipt by email. As each document lands, the matching gate on your side goes green on its own, so a two second glance tells you who is ready.

Deposit and balance, paid from the portal
The portal shows what has been paid and what is still owing, and lets the customer pay the deposit or the remaining balance through your connected payment provider. No resent link, no read-out card number over the phone.
When the balance clears, the booking updates itself and the outstanding figure drops to nil. The most common email in your inbox, can you send the payment link again, simply stops arriving.

Agreement and receipt, always one tap away
Once the rental agreement is signed, the customer can download the PDF from their portal whenever they want, alongside their receipt. That is the end of digging through sent mail to resend a copy.
Each agreement carries a verify link and QR code that resolves to a page confirming it is genuine, so a signed agreement is provable, not just a file in a folder. The gate flips from awaiting signature to signed the instant it is done.

And when plans change, that comes to you too
The portal is not only for the smooth path. The customer completes pre check-in from it, requests a change to the booking, and re-sends their own portal link if they mislaid it, all without your front desk touching a thing.
- Pre check-in. Licence, details and the overseas-licence questions, captured on the customer's phone and saved against the booking.
- Change requests. A change to dates or details arrives as an alert for your team to confirm or decline, with a record kept on the booking.
- Re-send my link. Lost the email? The customer has their portal link re-sent to their own address in one step, so that request never reaches you.
You are all set for pickup. Your licence is on file and your agreement is signed. Your balance is due before you collect.

The customer portal, answered
Does the customer need an account or a password?
No. Every booking gets its own private link. The customer opens it, sees their hire, and gets on with uploading a licence or paying a balance. There is nothing to sign up for and no password to reset, which is one less thing your front desk ever has to talk anyone through.
What can the customer actually do in the portal?
View their booking and its status, complete pre check-in, upload their licence and any required documents, pay a deposit or the remaining balance, download the signed rental agreement and their receipt, and request a change to the booking. If they lose the link, they can have it re-sent to their own email in one step.
Is the payment step a real charge?
In the live portal, yes: the customer pays a deposit or the outstanding balance through your connected payment provider, and the booking updates on its own. On this page the payment step is a read-only recreation with seeded demo figures, so nothing is charged and no real customer data is shown.
How does the agreement download work?
Once the agreement is signed, the customer can download the PDF from their portal at any time. Each agreement carries a verify link and QR code that resolves to a page confirming it is genuine, so a signed agreement is always retrievable without anyone emailing a copy back and forth.
What happens when the customer changes their plans?
They send a change request from the portal, which lands with your team as an alert rather than a phone call you have to field. You confirm or decline it on your side. The request and its outcome sit against the booking, so there is a record of what was asked and what you agreed.
Will this really cut down the emails?
That is the whole point. The three messages that fill a rental inbox, where is my agreement, can you resend the payment link, and did you get my licence, all become things the customer answers themselves from the link they already have. The work moves off your desk without moving onto theirs.
