Hand over the keys without being there

A 6am ferry pickup, an unstaffed depot two hours away, a customer landing after you've gone home. Self-collection lets them collect the vehicle themselves — photographing it, holding the bond, and unlocking a lockbox code on their phone — with the same record you'd get standing at the counter.

This is not a separate, riskier way to do pickups — it lands the booking in exactly the same "on hire" state your counter handover does, with the same photos, odometer, bond and agreement behind it. The difference is the customer does the steps on their phone, and every check has to pass before the lockbox code is ever shown.

How it works

Everything checked before the code appears

01 In the right place, in the window The customer opens a tokenised link on their phone. Glovebox checks they are physically at the pickup location — a geofence around the depot — and inside the pickup window before anything unlocks. Off-site or too early, and it holds.
02 Identity and condition photos A selfie at the vehicle if you want it, then a required set of exterior photos — front, back, both sides, dash and fuel. The reveal stays blocked until every angle is captured, so you are never short of pickup evidence.
03 Bond held, then unlocked The bond is placed as a hold — on the card on file or a new one — and only once it succeeds does the vehicle flip to on hire and the lockbox code appear. It all happens in one step, so a missing hold means no code.
04 Logged, and safe to refresh Every step is stamped on the booking timeline, and the code reveal is recorded to an audit trail. Refreshing the page shows the same code again without re-charging or re-transitioning — a dropped signal never loses their pickup.

Built to fail closed

You choose when it's allowed

Self-collection only offers itself when everything is set up: the location is enabled for it, the vehicle has a lockbox code, the booking is ready for pickup, and the customer is where and when they should be. If any check fails, it routes them to call you rather than silently blocking.

Tune the pickup window and the geofence radius per branch. If a customer starts but doesn't finish the odometer or interior photos, that pickup is flagged for your team so nothing falls through the cracks.

On your side of it

Same booking, same emails, no extra work

Because it reuses your normal pickup flow, the bond-hold and checkout-confirmation emails go out exactly as they do at the counter — there is nothing self-collection-specific to set up. You can enter the odometer or force-complete a pickup from the booking if you need to, and a live activity tracker shows each customer's progress: link opened, photos done, bond held, code revealed.
