Move a vehicle between branches

Cars end up in the wrong place. A transfer books the vehicle out for the move so nothing is hired from under it, and repositioning suggests the moves worth making.

Bookings → Transfers lists every scheduled vehicle movement. You can also create one straight from the fleet calendar by clicking the vehicle's row, which is usually quicker because you can see the gap you are aiming for.

It is not only about transfers

The same record covers every reason a vehicle is off the road, and the kind you choose is what appears on the calendar:

  • Transfer — moving between branches.
  • Maintenance — in for work.
  • Out of service — not available, no further explanation needed.
  • Damage — off the road after an incident.
  • Owner use — the owner has it.
  • Photo shoot, and Other for anything else.

Whichever you choose, the effect is the same: the vehicle cannot be booked for that window, by you or through your website. That is the point of recording it.

Creating one

Give it a vehicle, a from and to location, and a window. Save.

A hold cannot be placed over a booking that already exists. If a booking overlaps the window you asked for, Glovebox refuses and names it. Move or cancel the booking first, or narrow the window around it. This is deliberate — the alternative is a customer arriving for a car you have quietly taken away.

Repositioning

Operations → Repositioning is the other direction: rather than you spotting a car in the wrong place, Glovebox spots it and suggests a move.

Each suggestion can be accepted or dismissed. Accepting publishes a discounted one-way offer, so a customer travelling that way anyway moves the car for you and pays for the privilege. Dismissing clears it.

Suggestions that go unactioned escalate into a dashboard alert, and the alert links straight back here. Accepting or dismissing resolves it — an alert from this module always has something you can do about it.

Settings for how keen it is live under Settings → Repositioning.

Things worth knowing

  • Transfers are a module. If Transfers is not in your sidebar it is not switched on for your account.
  • Auto-scheduling return transfers is off by default. With it on, a one-way hire can raise its own return transfer.
  • A hold the booking itself caused is not in its own way. A one-way booking that leaves a car away from home creates its own transfer, and that never blocks the booking that created it.

If it did not work

  • You cannot save the transfer. A booking overlaps the window. The message names it.
  • The vehicle is still bookable. Check the transfer saved with both a start and an end — a record with no window does not block anything.
  • Repositioning shows nothing. It only surfaces suggestions worth acting on; an empty list means your fleet is where it should be.
